Programmed creates one trusted vendor data foundation

A vendor ecosystem too complex to manage in fragments

Programmed operates at a scale where vendor information is not just administration. It is operational infrastructure. Across its building and facilities management operations, the organisation manages more than 18,000 active vendors, from trade contractors with licence and insurance obligations to specialist suppliers with security clearances and site-specific requirements.

 

Every vendor profile carries a chain of decisions behind it: who can be engaged, which compliance checks have been satisfied, whether financial details are correct, and which operational systems need to recognise that vendor before work can move. When that information is split across business units and applications, small data problems can quickly become business risk.

 

Before the Rapid Project, vendor management relied on often manual coordination across varied business units. Different teams could hold different views of the same vendor. Compliance checks could be repeated by separate business units. Vendor selection was harder than it needed to be because procurement and operational teams had to rely on multiple records to understand whether a supplier was approved, current and ready to engage.

The Rapid Project

Programmed set out to create a centralised Vendor Management System using Rapid Global as its vendor onboarding and compliance platform. The ambition was deliberately bigger than a cleaner onboarding workflow. Programmed wanted a single, trusted and near real-time view of every vendor, reflected consistently across the enterprise.

 

Adaptiv worked with Programmed to put Boomi Data Hub and Boomi Integration at the centre of that model. Together, the platforms provide the master data foundation and integration layer needed to connect vendor onboarding, compliance, finance, procurement and operational systems without relying on repeated manual handoffs.

A golden record for every vendor

Boomi Data Hub now acts as the master data management backbone for Programmed’s vendor records. When a vendor is onboarded through Rapid Global, key profile information such as compliance status, certifications, insurance, banking details and site-specific requirements is governed through a central golden record.

That record gives Programmed one authoritative version of vendor truth. Updates can be synchronised across upstream and downstream systems in near real time, so teams are no longer left reconciling mismatched records or wondering which application has the latest compliance position.

An important benefit emerged once the solution was live. Data Hub’s quarantine capability began automatically detecting and isolating inconsistent records from upstream systems before that data could flow downstream. For a vendor ecosystem of this size, that kind of data quality control is more than a technical feature. It helps protect day-to-day operations from silent data errors that could otherwise spread across the enterprise.

Connecting the vendor lifecycle

Boomi Integration connects the vendor lifecycle across Programmed’s core systems. Rapid Global remains the primary environment for onboarding, compliance, certifications and vendor status. Microsoft D365 Finance & Operations supports ERP vendor creation, financial processing and vendor ID synchronisation. Workorder management platforms and related software can then receive the vendor information they need to support procurement, field service, cost centre communications and operational delivery.

Vendor information can move from onboarding into finance and operations with far less manual re-keying, while compliance status becomes visible in the systems where teams actually make vendor engagement decisions.

Keeping the complex parts manageable

Some of the most valuable work sat beneath the surface. The D365 Finance & Operations integration needed to coordinate vendor, certification, bank account, contact and address data, often with multiple instances for a single vendor. During batch processing, that could create hundreds of API calls per execution, and tens of thousands during the initial load.

 

Adaptiv used Boomi Event Streams to decouple those batch results so each vendor could be handled in its own execution. That reduced the number of API calls per execution, made the integration easier to monitor, and gave the production team a clearer path to troubleshoot issues when they arose. Event Streams was also applied to other integrations that benefited from the same decoupled approach.

Phase 1 has already changed the way Programmed manages vendor data. Instead of multiple records moving through separate processes, more than 18,000 vendors are now governed through a centralised, compliant golden record. Five or more enterprise systems have been integrated, with further Phase 2 integrations planned to extend the reach of the vendor data model.
